Our role
Your employer or organisation normally decides why workforce information is used and is the data controller. NEXA SECURE IT LTD acts as its processor when providing TimeWise. We act as controller for account security, service administration, support and legal compliance.
Information we process
- Identity and work details, including name, work email, employee number, department, job title, manager, workplace and employment dates.
- Time records, shifts, project allocations, timesheets, overtime and approval decisions.
- Holiday requests, leave type, balances and decision comments.
- Account, security, kiosk and audit information, including sign-in and administrative activity.
- Support communications and company branding.
Why information is used
Information is used to provide contracted workforce services, administer accounts, keep records accurate, protect the service, support users and comply with legal obligations. Your employer is responsible for selecting an appropriate lawful basis for its workforce processing.
Sharing and transfers
Information is available to authorised people in your company according to their role. We use carefully selected hosting, authentication, email and operational service providers. We do not sell personal information. Where information is transferred internationally, appropriate UK safeguards are used.
Retention and deletion
Your company controls its workforce retention requirements. The company account owner may request workspace deletion; a 30-day waiting period allows cancellation before permanent deletion. Some information may be retained where law, disputes, security or financial record-keeping requires it.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing, and to receive a copy of your information. Employees can submit a privacy request from their TimeWise account for the company account owner to review. You may also contact us or complain to the UK Information Commissioner’s Office at ico.org.uk.
Security and changes
We use access controls, workspace separation, encryption in transit and audit records to protect information. No system can guarantee absolute security. We may update this notice and will publish the revised date here.
